The Pole to Pole Leadership Institute [the Institute] respects and upholds the individual's right to privacy and protection of his or her personal information. The Institute is committed to ensuring compliance by all organizations with all applicable federal and provincial privacy legislation. The Institute seeks to ensure that the personal information it holds is treated with the same respect.

Implementation

The Institute is accountable for the personal information supplied to us by donors, members, subscribers, clients, employees and volunteers, and by delegates and speakers at educational events such as conferences and workshops organized by the Institute.

The Institute collects and uses personal information about donors, members, subscribers, clients, employees and volunteers for the following purposes:

  1. Information for the purpose of determining potential members of the Institute’s journeys.
  2. Providing advice and information services to clients and members.
  3. Collating records of activities undertaken by the Institute.
  4. Organizing educational events.
  5. Reporting to grantors, donors and members.
  6. With consent, providing information to other similar organizations for the purpose for which it was collected

Client Privacy Policy

If you contact the Institute to obtain information or advice or to lodge an FOI or privacy complaint, we may ask you to provide the personal information we need to respond to your request. In most cases this information will be recorded anonymously. We keep this information securely and do not pass it to any one else except with your express consent.

Membership Privacy Policy

When you join the Institute, we collect your name we collect your name, postal address and email address, telephone number, position or title, organization (if any) and area of interest. We also record the date that you joined.

Subscribers Privacy Policy

When you subscribe to the Institute's online newsletters, we collect your name, postal address and email address, telephone number, position or title, organization (if any) and area of interest. We also record the date that you joined and the amount of the subscription. We do not collect or retain credit card information.

Donors Privacy Policy

When you donate to the Institute, we collect your name, postal address and email address, telephone number, position or title, organization (if any) and area of interest. We also record the date and amount of the donation and details of any other service you receive from the Institute. We do not collect or retain credit card information.

Disclosure of Information to Third Parties

The Institute does not sell, trade, or rent information to third parties without consent. The only circumstance under which personal information may be disclosed to third parties is for the fulfillment of any purposes identified above, or as required by law. If personal information is disclosed to third parties for the fulfillment of any purposes identified above, the Institute will ensure that appropriate security undertakings, such as confidentiality clauses in contractual agreements, are employed to protect the transfer and use of personal information.

Consent to Collection, Use, and Disclosure

The Institute usually seeks express consent when collecting, using, or disclosing your personal information. We may also use information that you have given us to inform you about the same kind of information or services in which you have expressed an interest. For certain purposes, such as arranging educational events we will assume that delegates and speakers consent to our collection, use and disclosure unless they notify us otherwise. The Institute is committed to protecting the privacy of visitors to our website. Visitors are not required to register or give any personal information in order to use the site (other than selected membership sections). We do not automatically gather any personal information during your visit to the site. Our site uses per session cookies, which are a commonly used tool to enable web-site administrators to fine tune the site based upon user-activity trends. Our web host provides us with access to global statistics about use of our website, however these are not linked to the identifiers of individual users. If you sign up to receive news or information we retain the information you provide to enable us to contact you to respond to your request. With your consent, this information may be passed to similar organizations for a related purpose.

Access

You have the right to access your personal information under the control of the Institute. The Institute’s Privacy Officer will assist you with your access requests. In certain exceptional situations, the Institute may not be able to provide access to certain personal information that it holds about you. If access cannot be provided, the Institute will notify you, in writing, of the reasons for the refusal.
